Project Administrator – Temporary

Our client, an International EPC company located in the SE is currently seeking a Project Administrator for supporting various administrative functions in the Projects Operation Team. The Project Administrator is responsible for documentation and administrative support.

Responsibilities:

  • Setup support functions covering project planning, tracking, reporting, quality and risk management and both internal and external communications
  • Create progress report template and acquire inputs from various members of the team. Format, finalize and distribute as appropriate
  • Create and maintain document control register
  • Create and maintain project files in SharePoint
  • Schedule and attend internal and external meetings when appropriate. Record and distribute meeting minutes and action items
  • Receive and track vender invoices
  • Format, finalize and submit change order requests to the Client
  • Distribute and receive all incoming and outgoing documents with the Client, transmittal included
  • Data input and initiating opening of project in Maestro following handover procedure
  • Draft, edit, format, proof-read, and revise correspondence for the project team
  • Format, edit and finalize reports
  • Support the project team with job start-up packages and close-out documents for assigned projects
  • Act as resource person for Operations team and provide training and/or support to fellow colleagues
  • Timesheet review for job number and phase verification
  • Book and confirm travel arrangements
  • Assist and contribute to company WIGs and administrative processes

Required Skills:

  • Process data from multiple sources and filter for accuracy and reliability
  • Math skills to complete timesheet review and work order changes
  • Diligent with attention to detail
  • Filing and storage of documents in accordance with company  information management standards
  • Attention to and identification of contract requirements, ambiguities, contradictions, errors, details, risks and opportunities
  • Establish and maintain relationships with operations manager, project managers, job coordinators and other division staff
  • Write reports and business correspondence
  • Builds constructive working relationships
  • Builds positive relationships at all levels of the organization
  • Ensure all project documentation is accurate
  • Ability to manage under pressure; meet multiple and sometimes competing deadlines
  • Remain calm during tense/stressful situations
  • Ability to keep information confidential
  • Time management skills

Education and Experience:

  • 5 year combination of education and experience in an office setting or support role
  • Senior Computer literacy including Word, Excel, and Outlook
  • Construction/Engineering/Oil & Gas experience is an asset
