Founded in 2012 our local small business client is looking for a ROCK STAR assistant to join their team. With a strong reputation with their clients and General Contractors they are looking for someone who can add to the level of customer service they already deliver. Hours are Monday-Thursday 6 hours/day to start, our client is growing rapidly so the hours could easily morph into 8 hours/day… Your success in this role will be precipitated by the following traits: smarts, adaptability, great outgoing personality, creativity and a sales mentality. What you’ll be responsible for:

  • Create and maintain a CRM system that is user friendly and comprehensive – anyone will be able to find client information quickly
  • Track and record daily transactions – essential for the business to know their timelines and deliverable.
  • RFP writing and compiling of information in conjunction with Project Management team
  • Monitor weekly reports & transactions
  • Respond to marketing requests; sources includer LinkedIn, Instagram, Email etc.
  • Manage company correspondence to reduce the time spent by the ownership group
  • Manage industry events (research and event management)
  • Bi – weekly payment remittance (6 -7 Subcontractor work orders review)
  • Recommend adjustments to the process, client relations, or internal practices (this role will build revision in the needs of the company and the position)
  • Calendar management – Build reminders for departments (Safety Documents for payment, WCB Clearances etc.)
  • Build Projects and processes through Trello for high communication and goal results
  • Build and maintain procedure documents for policy book
  • Creation and distribution of Invoices and Service Agreements
  • Support customer sales funnel

Please note – this is an entry level position, we are looking for candidates with a MAXIMUM of 3 years’ experience in a similar role, new graduates from design/construction diploma programs or candidates with a strong customer service/serving background. A vehicle is a mandatory requirement for this role.
