Operations Director/Office Manager (Medical/Dental office)

Our Oral Surgery clinic client is seeking an Operations Director/Office Manager to join their Calgary office. The successful candidate will provide hands-on personnel leadership with strong focus on customer service and process improvement.

As the Operations Director you will lead the operations function, in conjunction with business growth, introduction of new operational systems, meeting organizational financial objectives and meeting organizational goals. You’ll work collaboratively with Medical Director and Clinical Team Leads to ensure organizational processes and procedures meet confidentiality, safety and quality standards.

Strategic Management:

  • Assists with development of business plan, policies, practices, and attainment of goals
  • Oversees and manages the achievement of goals, budgets, and operational activities collaborating with Medical Director, Clinical and CSR Managers and Doctors to ensure accuracy
  • Contributes to the overall short- and long-range planning process and in the establishment and assessment of the annual operating budget
  • Develop a continuous improvement culture

Operations Management:

  • Participate in the investigation and implementation of new services, processes, and systems technologies to meet short -and long-term objectives
  • Establishes, implements, revises, and maintains policies and procedures related to operations
  • Manages and assists in coordinating efforts between support groups and clinical staff
  • Coordinates needed support to clinical areas for smooth workflow and cost-efficient service delivery
  • Oversee and support development of an annual marketing and promotion plan and budget, ensuring the plans and activities are consistent with business plans
  • Oversee facilities management including leases, maintenance and repairs, safety and security
  • Oversee and delegate events planning and implementation
  • Develop and implement a promotion and customer service plan for referrals (visits, social media, newsletter, charitable/community events)
  • Develop and Articulate policies related to referral and patient complaints, with expedient follow-up and resolution

Financial Management:

  • Directs and oversees plans; in conjunction with accountant prepares, controls, monitors, and forecasts direct and/or indirect budgets
  • Directs the capital expenditure and asset redeployment activities
  • Ensures attainment of efficient and economical performance in relation to profit and year-end goals
  • Works collaboratively with the accountant in order to ensure operational processes and equipment needs (inventory, purchasing, equipment such as POS terminals, etc.) are established, implemented and maintained

Human Resource Management:

  • Directs, organizes, plans, and develops the implementation and administration of human resources functions and carries out policies and procedures relating to all phases of human resources activities
  • Oversees activities relating to staffing, employee education and training, performance management, employee relations, salary and benefits administration
  • Assesses and assists in upgrading the talent base within all aspects of operations to achieve growth and meet practice needs
  • Information Technology Management
  • Manages and coordinates activities related to practice outsourced technology services provider
  • Studies and resolves problems with the information systems and technology used within the practice and collaborates with the technology support services in resolving problems
  • Manages the technology equipment replacement plan and budget

General Administration:

  • Establish, develop and deliver monthly operating reports for Surgeons
  • Establish and lead all leader group meetings
  • Oversee contractor and consulting service providers
  • Any/All other operational management activities as needed
  • Develop and maintain knowledge, skills and abilities required to ensure the efficient and effective operation of the practices

Education and Training:

  • Post secondary certification or degree in business management (certification, MBA or equivalent)
  • Minimum of 5 years operations/administration management experience
  • Knowledge of medical/dental healthcare practices
  • Personnel Leadership a high priority – with excellent communication and interpersonal skills
