Community Program & Events Coordinator

Our client, a well established community in Calgary, is looking for a Program & Events Coordinator who will be responsible for the successful execution of various year-round programs and events which includes providing excellent customer service while arranging all aspects of program and events including marketing.

In this role you have responsibility for:

Community Programs and Events:

  • Organize community programs and events, includes: planning, scheduling, advertising, hiring instructors, monitoring registration and overseeing program implementation
  • Organize and coordinate the online registration for programs and events
  • Prepare and oversight of program and event budgets
  • Maintain the online registration and process related program registrations
  • Marketing; manage communication and marketing streams including Social Media
  • Interacts with sponsors, donors and advertisers
  • Approve and code invoices for payment
  • Generate event summaries, checklists and event attendance report
  • Compile and submit articles for monthly newsletter; this includes editing final draft

Hockey program:

  • Set up registration for all hockey camps
  • Prepare and send notifications for all hockey camp participants
  • Assign ice for throughout the season including: pre-seeding rounds, regular hockey, practice ice for regular season, home games with Minor hockey, and all hockey camps.
  • Enter & update ice times
  • Collaborate with Facility Coordinator
  • Distribute team photos
  • Order and distribute jerseys for 3×3 hockey
  • Ongoing communication with Hockey Council Registrar


  • Post Secondary Diploma in Event Management, would be a definite asset and is preferred
  • One to three year’s experience in a similar role, or role where your duties included event management – ideally within a community association.
  • Solid administrative skills; including HIGH degree of attention to detail, ability to multitask, exceptional customer service and highly tuned organizational skills
  • Excellent communication skills, including the ability to garner interest in events and programs enticing people to attend
  • Experience with Microsoft office programs
  • Experience with Active Net, and Max Galaxy registration programs would be an asset
  • Experience working with children in a learning environment or sport setting
  • Human Resources experience with hiring program staff and oversight
  • High level of confidentiality, diplomacy and discretion
  • Class 5 Drivers License

Conditions of Employment:

  • Must be able to work extended hours, evening, weekends as required
  • Successful candidate will be required to pass a police security clearance before employment is confirmed.
